    Job Description

    Primary responsibility is to administer the appointment/re-appointment and orientation process for rotating residents. This requires the development of efficient processes to manage and review applications and credentials from approximately 1,500 physicians-in-training.  Superior organization and communication skills are required to interact effectively and professionally with the entire spectrum of participants in the graduate medical education activities of the hospital - medical students, faculty, senior Hospital administrators, and senior administrators of outside institutions.  Position provides administrative and clerical support to the Office of Graduate Medical Education as other responsibilities permit. 

    • Manage the collection and review of all documentation related to the appointment or re-appointment process of rotating house staff.  Review for completeness and accuracy of documentation prior to request for appointment to medical board.  Review monthly medical board report.  Request interim appointments as needed.
    • Provide training support and guidance to departmental Education Coordinators by performing quality review of appointment materials; responding to inquiries; giving guidance on documentation and database requirements of rotating physicians-in-training.
    • Review work flow and policies and procedures to most effectively meet the goals and mission of the department; make revisions to improve efficiency on both inter- and intra-departmental levels, identify methods of avoiding duplication of efforts, streamlining procedures, enhancing cooperation, etc.
    • Assist in the maintenance of GME credentialing data base for all rotating physicians-in-training.  Coordinate exchange of data with Clinical Systems and Human Resources for assignment of identification numbers and appropriate access codes. Generate and distribute weekly arrival/departure information to ensure appropriate and timely access to hospital systems.
    • Troubleshoot critical systems access issues with trainees, chief residents, help desk and IS personnel. Respond to daily inquiries from house staff, chief residents and faculty. 
    • Conduct initial orientation for rotating house staff.  Obtain and prepare registration materials including identification badge, pharmacy signature verification, security and HIPAA information, and Healthcare Information Systems access.  Disseminate information on key hospital policies and practices to the incoming house staff.
    • Assist with planning for annual hospital orientation.  Assist with general office administrative duties including inquiries relating to the Graduate Medical Education programs; fielding telephone calls for GME Administrator, Residency Coordinator, Medical Student Coordinator and Data Analyst.  Redirect health care inquiries to appropriate department on a timely basis.

     

    Job Requirements:

    • Bachelor’s Degree plus 2-4 years’ experience in GME
